Conditions of Use
In the application for hire and in these Conditions of Use “Committee” means the St Arvans Village Trust Management Committee and “rooms” means the St Arvans Meeting Rooms
- The Committee may request applications for the hire of the rooms to be made in writing to a member of the Committee. The person signing the application must be aged over 21 years and shall be considered the hirer.
- The Committee may request a deposit to be paid at the time of hiring, together with the hire charge. The deposit will be refunded after the relevant event subject to any deduction made by the Committee in respect of damages for breach of any of these conditions and particularly in respect of any cleaning charges.
- For non-commercial bookings there is no penalty for cancellation up to 24 hours before the booked session; after that the full hire charge will be payable. Cancellations must be notified to the bookings secretary.
- Please do not allow anyone to sit or stand on the tables or heaters: they are not designed for such use and may break. Hirers may be charged the full replacement cost of such breakages.
- Rubbish disposal: we do not have the facilities to store refuse and recycling between collections. Hirers must therefore remove all rubbish and waste at the end of the hire period.
- The rooms may not be used for any function which requires an Entertainments Licence or Alcohol Licence.
- The hirer shall not sub-let the rooms or any part thereof.
- The hire of the rooms does not entitle the hirer to use or enter the premises at any time other than the specific hours for which the rooms are hired unless prior arrangements have been made with a member of the Committee. 10 minutes leeway is permitted at beginning and end of the hire for setting up and clearing away.
- At all times during the hire period at least one responsible adult aged over 21 years must be present.
- The rooms should be vacated quietly by 11pm to avoid disturbance to the occupants of neighbouring houses.
- The hirer is responsible for the preservation of order in the rooms during the hiring and shall undertake to indemnify the Committee against any damage to the rooms and to property in the rooms. The Committee reserves the right to put a stop to any function not properly conducted.
- The Committee shall not be responsible for any loss of or damage to any property arising out of the use of the rooms or the car park nor for any loss damage or injury which may occur to any person or persons resorting to the rooms or car park during the hiring arising from any cause whatsoever.
- The Committee and anyone acting as agent of the Committee reserve the right to enter the rooms at any time.
- No bolts, nails, tacks, screws, pins or other like objects shall be driven into any part of the rooms nor shall any posters or other articles be attached without the prior consent of the Committee. Sticky tape and blu-tack must not be used on the walls.
- The hirer shall at the end of the period of the hiring leave the rooms in a clean and orderly state. Furniture should be replaced where it was found. The cost of excess cleaning found to be necessary by the Committee will be recoverable from the hirer.
- Property of the hirer and the hirer’s agents must be removed at the end of the period of hiring or fees may be charged for each day or part thereof until it is removed. The Committee accepts no responsibility for any property left on the premises after the hiring. If property is brought into the premises for sale, all property remaining unsold at the end of the hiring will be considered to be the property of the hirer for the purpose of this condition.
- No exits may be blocked, chairs or obstructions placed in corridors or fire appliances removed or tampered with.
- No additional lights or heating appliances shall be used without the previous consent of the Committee.
- Heating, including the water heater, and lighting should be switched off at the end of the hire period. The Committee reserves the right to levy a charge on the user should this condition not be met.
- Crockery, cutlery, kitchen appliances and equipment are available for use by the hirer and should be used carefully, cleaned and replaced where found. No property of the Trust is to be removed from the rooms.
- Smoking is not permitted anywhere in the rooms.
- All accidents must be recorded in the Accident Book and the bookings secretary informed as soon as possible.
- The Committee reserves the right to amend these conditions without notice.
